Client Responsibilities
Translation quality depends on clear communication and complete source material.
Source Material Quality
- Provide legible, complete source documents. BTIS cannot guarantee accuracy from poor-quality scans, partially visible text, or illegible handwriting.
- Accepted formats include PDF, Word, Excel, JPG, and PNG.
Accurate Instructions
- Provide clear instructions: target language, intended use (legal submission, immigration, personal reference), and any terminology preferences.
- This information helps BTIS assign the right specialist to the project.
Timely Communication
- When BTIS requests clarification on ambiguous source content, the client should respond promptly.
- Delayed responses may affect the agreed delivery timeline.
Legal Compliance
- All materials submitted for translation must be lawfully obtained.
- The client must hold the legal right to have the documents translated.
- BTIS accepts no liability for unlawful content submitted by the client.
Confidentiality and Intellectual Property
We handle sensitive documents daily, from legal contracts to personal certificates. Confidentiality is required for every project.
Confidentiality Obligations
- BTIS treats all client documents and information as strictly confidential.
- All translators and staff are bound by non-disclosure agreements.
- Source materials and translations are never shared with third parties without written consent from the client.
- Formal NDAs are available on request before project start, at no extra cost.
Intellectual Property Rights
- The original source document remains the intellectual property of the client.
- Upon full payment, the client receives full ownership and usage rights to the translated content.
- BTIS retains no rights to use, reproduce, or distribute the translated work after delivery.
- Translation memories and glossaries may be retained by BTIS for quality consistency, unless the client requests deletion.
Quality Guarantee and Certification
Every project follows our multi-step quality process, including rush orders.
Quality Process
- All translations undergo a mandatory two-person review: one translator produces the initial translation, and a second specialist reviews it for accuracy, consistency, and natural flow.
- A project manager performs a final check before delivery.
- BTIS uses native speakers only — translators work into their mother tongue.
- No machine translation is used for client deliverables. This process has been applied across 20,000+ projects since 2008.
Certified and Notarized Translations
- Certified translation includes a translator statement, signature, and company seal. This format is prepared for submission to Thai government agencies, immigration, and embassies in Bangkok.
- BTIS prepares certified translations to the format Thai authorities require. Acceptance remains at the discretion of the receiving authority. If a certified translation is rejected specifically because of a BTIS translation error, the correction policy below applies.
- Notarized translation adds verification by a Notarial Services Attorney. Required for certain legal and embassy submissions. Available as an add-on service.
Limitation of Liability
Liability is capped at the project fee. Our correction policy for certified translations is set out below.
Liability Cap
- Total liability for any claim shall not exceed the fee paid for that specific project.
- BTIS is not liable for indirect or consequential damages, including lost profits or business interruption.
- Correction policy: if a certified translation is rejected specifically because of a BTIS translation error, BTIS will correct or re-translate the document at no charge.
Disclaimers
- BTIS does not provide legal advice. Translations reflect source document content without legal interpretation.
- Acceptance of translated documents by embassies, courts, or government agencies is at their discretion.
- The client must verify that translated content meets the receiving authority's specific requirements.
- BTIS is not responsible for errors arising from illegible, incomplete, or ambiguous source material.
